District Testing Coordinator Testing Checklist

Below are the steps needed to ensure TestHound is ready to go for your Campus Testing Coordinators (CTCs) during and leading up to testing. 

  • Data Files 

    • Ensure all data files are updated daily (Students, Schedules, Test Administrators, Demographics).

    • Review the Processing of Data Updates box. Green bars with today’s date indicate updated files.   

  • Auto Pilot:  

    • Check Auto Pilot for mapping errors 

    • To correct mapping errors, click the Auto Pilot tab in your District Management Menu. Click on the name of the map, then select the All ACC tab and click in the External Accommodations box. Match the external accommodation to the appropriate TestHound accommodations and click submit. 

    • Next, click evaluate student data and publish to publish your newly mapped accommodations.

    • Regularly check the map(s) for mapping errors. 

  • Performance Tracker (Texas Only):  

    • Upload past performance data. 

    • Generate an SDR (Student Data Request) file to gather missing past performance data. 

    • Generate a Registration File (Be sure EOC course mappings are associated first. All associations mapped previously will remain so this only has to be done once.)

  • Have each campus approve their pending alerts: 

    • Process student alerts, test administrator alerts, and population change alerts. 

    • View and approve outstanding Auto Pilot alerts. 

  • Cambium Reports  

    •  Prior to pulling a Registration File and any Cambium-related reports (i.e., test attributes, EOC (end of course) Eligibility File, Interim Eligibility File, Interim Off Grade Level, Tide Roster, etc.) - Ensure each campus has: 1). accepted all student and Auto Pilot alerts 2.) and added all students to the test administration. 

  • Inventory:  

    • For paper, inventory upload a copy of your inventory file into TestHound. 

    • STAAR ALT 2 materials checklists for Texas will need to be uploaded by the DTC also. 

    • Share district boxing expectations with CTCs before testing ends.
