Assigning Students to Rooms – Order of Operations

You will have the option to assign students to rooms by Class Period, Room Capacity, Manually, and by Filters.  If your school is utilizing the Assign Room feature to assign students to rooms based on the class period, it is recommended you assign the students by period before utilizing the Filters feature.

  • Assign by Class Period or Room Capacity

  • If done alphabetically, there is an option to automatically assign students to test rooms

  • Filter students based on accommodations and place them into rooms

  • Move students into rooms based on rosters created beforehand

  • Assign any unassigned students to testing rooms

  • If not, students can be moved individually, or files (groups) of students can be uploaded and moved into rooms at once

  • Assign teachers to testing rooms

Automatic Assignment of Students to Testing Rooms

Depending upon the number of students, students may be assigned to rooms automatically or individually.

Room Capacity

  • You must first add rooms to your test

  • To assign students to rooms click Assign Rooms from the Toolbar menu

  • A drop-down will appear for assigning students by Room Capacity by typing in the number of students to be placed in the available rooms

  • Choose to assign by alphabetical order or random selection

  • Complete auto Assign Now

 

  • Only students without prior room assignments will be placed in the rooms available within the test

  • Rooms, where students were previously assigned, will not be modified

Class Period

  • Choosing to assign by Class Period will remove a student from a previously assigned room.

  • To assign students to rooms click Assign Rooms from the Toolbar menu

  • A drop-down will appear for assigning students by Period. Select the class period by the dropdown list

  • Select All Rooms or individual room numbers

  • Click on Get Sessions

  • Choose the session date then click Assign Students

 

 

Filtering Students

  • To filter students, select Filter from the Toolbar menu

 

  • By clicking any of the fields available to be filtered, a list of possible choices will be displayed 

  • Click on the choice to select, multiple selections within and across categories can be at once

 

  • To view a list of students within the selected parameters, select Apply Filters

  • Within the Tests view a new tab will appear named Filtered which will display a list of students based on the filter parameters

 

 



To assign students to rooms individually simply click to highlight the student(s) you wish to move

  • A series of drop-downs will appear below the test in which you will indicate

  • The test date you want the students placed

  • The session (testing time)

  • The room to move students

 

To move the student(s), once the selections are made choose Move Students

  • Once students have been moved, the filter will be removed and new filter options can be selected

  • If you do not filter students but want to assign students individually based on preset rosters, use the individual/multiple selection options directly preceding this to move students

Assigning Filtered Students to Multiple Rooms

  • Filter the students based on an Accommodation selection, courses, Grades, Past Performance, or Program Status.

 

  • To filter students into selected rooms, select Assign Rooms from the Toolbar menu

  • A drop-down will appear for assigning students, Under Type, select Filtered Students, set a max capacity for rooms that will be selected, then add multiple rooms under Rooms.

 

  • Complete auto Assign Now



Students that have been assigned and filtered to room locations will appear to the right in your list of rooms by session.  If your room appears highlighted in yellow, you have overbooked your preset capacity on those rooms.  To update the capacity of rooms, click on Rooms in your Campus Management menu to update that information

 

Additional Options for Adding and Assigning Students to Rooms

To group students based on achievement levels or another grouping, the option below may be used

  • First, create a file for each group of students as you want them separated

  • Upload one file of students into the test at a time

  • Move all students uploaded via the first file into rooms either individually or using the Room Capacity option

  • Once all students have been assigned to a room, upload the second file and then move those students in individually or using the Room Capacity option

  • Continue with this process until all students have been added and assigned to rooms to keep groupings as desired

  • You can also manually add kids to the rooms by clicking on the student(s) you want to move, and using the ribbon that pops up at the bottom of the screen, choose the date, session, or room you want them in and click move.
