How to Inactivate, Remove or Designate a Retiring, Resigning or Non-Retaining Staff Member

For staff on extended leave that will not have a finalization/summative evaluation for the current cycle, you can inactivate the account and resume for the next evaluation cycle.

A. Under Utilities > Accounts Manager > Edit User Accounts > Search Current Users:

  • Type the name of the staff member in the Search Current field

  • Click on the name to open the staff profile page

  • Scroll Down to the bottom of the page to “Chang Staff Member Status”

B. Choose the options that fits the situation by clicking on the blue link

Inactivate - Marking a staff member as inactive

  • The staff member is still employed by the corporation but is not active, i.e., leave

  • All data is left intact

  • The staff member is removed from all roles and from all data calculations for the current year

  • Inactive staff members will remain inactive on the superuser's list and will continue to
    do so in upcoming school years until either removed or reactivated

Retiring, Resigning, or Non-Retaining at the End of the Evaluation Cycle

  • This staff member will complete this evaluation cycle and will need to go through the finalization process (which may extend into next year)

  • This person will not be renewed next cycle but access to this person next cycle is available to complete the evaluation process if warranted

  • After the evaluation process is complete, to remove access to this person, the status will need to be changed to “Remove from Current Evaluation Cycle”

Remove From Current Evaluation Cycle- Removing a staff member means

  • The staff member is no longer employed by the district

  • All data is intact, and this individual will no longer show up on the current cycle's roster
    or in the current cycle’s data calculations

  • If this person was employed last cycle, the finalization for this staff member will be available

  • The staff member will not be renewed next cycle

How to Reactivate an Inactive User Account

To reactivate a staff member marked as Inactive:

Under Utilities > Accounts Manager > Edit User Accounts > Search Inactive Users:
A. Type the name of the inactive staff member in the search field > Click on the name to open the staff profile page

B. Scroll down to “Change Staff Member Status” located at the very bottom of page:

  • Click the blue link “Reactivate” to add the staff member to the current evaluation cycle *

*NOTE: Review the staff profile and update any information and assignments that may have changed

How to Reactivate a Retired/Resigned User

Reactivate a staff member that left the district and has been marked as Retiring, Resigning, or Non-Retaining and has not been removed:

A. Under Utilities > Accounts Manager > Edit User Accounts > Search Inactive Users:

  • Type the name of the staff member in the Search Current field

  • Click on the name to open the retiring staff profile page

B. Scroll down to “Change Staff Member Status” located at the very bottom of page:

  • Click the blue link “Remove Designation” to add the staff member back to the
    current evaluation cycle *

*NOTE: Review the staff profile and update any information and assignments that may have changed

How to Restore a Removed User Account

SuperUsers can restore a former staff member that left the district and was removed:

Under Utilities > Accounts Manager > Edit User Accounts > Search Inactive Users:
A. Type the name of the staff member in the Search Inactive Users field > Click on the name to open the removed staff profile page

B. Scroll down to “Change Staff Member Status” located at the very bottom of page > click the blue link “Restore” to restore staff member into the current evaluation cycle” *
