Data Integration

Data Integration

This page allows you to control the list of accommodations for your district.  You can add, edit and delete accommodations from here, as well as gain access to the Auto Pilot Toolkit if your district has purchased it.

Data Integration allows districts to select from a list of vendors they would like to have accommodations supplied to on the district's behalf.  TestHound takes the testing accommodations from TestHound and sends them to the selected vendor nightly. Please be sure you have mapped everything in auto pilot and the campuses have accepted their auto pilot alerts to ensure the accommodations are showing on the student accommodation pages so they will be pulled into the file when it runs. The information won’t be available in the file until the next day.
The district will select from a list of vendors then read through and sign the User Agreement.  This establishes the file that will be sent nightly to the selected vendor.  (Note that if choosing Eduphoria, you will set up the integration, and then wait until the next day, click the download button to retrieve the TestHound accommodation file, and then upload it manually into the Eduphoria platform) None of the files will be updated until they run overnight. Please be sure you have mapped everything in auto pilot and the campuses have accepted their auto pilot alerts to ensure the accommodations are showing on the student accommodation pages so they will be pulled into the file when it runs. The information won’t be available in the file until the next day. To add an additional Data Integration file, click the + sign at the top of the table.  This will bring up the vendor selection box as well as the new User Agreement that will need to be signed.
A CSV file is sent to the selected vendor on behalf of the district.  The file includes the following data: Data File Format: State Abbrev: 2-digit string District ID: 6-digit County-District number Campus ID: 3-digit Campus ID number Student ID: The District's Local Student ID (up to 10 digits)- This is not a PEIMS (social security number or S number) or the TSDS number. The pencil will open up the map settings to turn on/off the features in the map (Ex. When a district does not want to push the data, they can turn off the feed) The trash can icon will exist to take away the map and stop all feeding of accommodations.
Eduphoria recently updated the file format required to import embedded supports. The updated format is significantly different from the file TestHound currently produces, so we're developing a new report specifically for Eduphoria. Our Product and Development teams are working to include this update in an upcoming sprint. In the meantime, we've made a converter available that allows you to take your current TestHound file and convert it into the format Eduphoria now requires. Before You Begin The converter is a file that you download and open directly in your web browser (Chrome, Edge, Firefox, or Safari). There's nothing to install, and you don't need to create an account. Download the converter here: Some districts have restrictions on downloading or opening files. If you have trouble accessing the converter, please reach out to your district's technology team for assistance. The converter runs directly in your browser, so no student data is uploaded or sent outside your computer. Steps to Create Your Eduphoria File Download the converter using the link above and save it to your computer. Download your accommodation file from TestHound. Navigate to Data Integration and select either the No Vendor or Eduphoria (Download Only) vendor. Download the accommodation file and save it to your computer. Open the converter by double-clicking the downloaded file. It should open in your default web browser. If the file opens in a preview window, save it to your computer first and open it from there. Upload your TestHound file to the converter by dragging the accommodation file into the converter or selecting Choose the Eduphoria download from TestHound to locate your file. Review your accommodation mappings. The converter will match TestHound accommodations and subjects to the corresponding supports and subjects in Eduphoria. Review these matches and make any adjustments needed for your district. Your selections will be saved in your browser for future use. Download your Eduphoria file. Review the preview to confirm the information looks correct, then select Download the Eduphoria file. The file will use a 1 to indicate that a student has a support and a 0 when they do not. Import the file into Eduphoria. Use the downloaded file without opening and saving it in Excel, as doing so may remove leading zeros from student IDs. Additional Information Student Data: The converter runs directly on your computer. Student data is not uploaded, transmitted, or stored by the converter. File Security: The converted file contains student accommodation information and should be handled according to your district's student data security procedures. Saving Your Mappings: If you need to use the same accommodation mappings on another computer or share them with a colleague, select Download my choices in the converter. You can then use Load choices from a file to import those selections on another computer. Verify Your Import: After importing the file into Eduphoria, we recommend reviewing a few students to confirm their accommodations were imported correctly.
